Event Team Volunteers at Aberdeen International Youth Festival

The Event Team members play a vital role in the smooth running of the festival, supporting the participating groups during their stay.

Location The Festival is based at the University of Aberdeen during the summer. You will be required to stay on-site during the festival at the Hillhead Halls of Residence, and therefore you will be allocated a single study bedroom and full board (3 meals per day) for the period of your engagement.

We are looking for enthusiastic, positive people who enjoy working together.
The Events Team member will:
 Make welcome packs for participants containing local information, important information,
freebies etc.
 Attend daily briefing meetings.
 Carry out a range of general office tasks to support the work of the festival including reception
duties, answering phones, making newspaper cuttings, photocopying and creating programmes
for performances as required.
 Run errands in the city centre.
 Perform front-of-house and box office duties work at a range of venues. – This includes liaising
with the venue staff selling tickets, distributing tickets to participant groups, answering queries
from the audience and/or participants, showing the audience to their seats and selling
 Liaise with the couriers to arrange for groups to perform cabaret acts at Hillhead Central
Building on the required evenings. Make posters to advertise cabaret and set up the stage at
Hillhead for the cabaret. Help run the cabaret.
 Decorate the Hillhead Central Building in ample time for the Participants’ Party.
 Have a role at Festival in the City – a day of events in the city centre – to ensure the smooth
running of all events.
 On occasion, and if appropriate, deputise for couriers.
Whilst working for the festival the Event Team Member agrees to follow the code of conduct as outlined
within the AIYF policy handbook.
Fulfil any other reasonable duties as requested by AIYF’s senior management or the Event Team
Leader which contribute to the smooth running of the festival.

Training will be provided by the organisation for this position:

Training day: This is a compulsory day on Tuesday the 25th July 2017. It will run from 10am to 5pm.
This event will cover many areas of the festival programme, staff roles and health and safety. It will also be an opportunity to meet the full festival staff team and receive information about the attending participant groups.

About you

The organisation has indicated the following requirements from volunteers who want to take this opportunity.

Essential: Knowledge of Aberdeen, Willingness to take on a variety of roles, Basic IT skills, Reliability and flexibility,

Desirable: Previous experience in Box Office or Front of House role, Prior knowledge of AIYF, Interest in the performing arts
